JUNIOR ADMINISTRATIVE ASSISTANT

ROLE OVERVIEW

  • Provides administrative support to the division: 
    1. Screens phone calls, incoming mails and other correspondence 
    2. Manages function room reservations for various meetings of the team
    3. Ensures timely ordering of catering/ food requests
    4. Arranges transportation services requests
    5. Coordinates travel and conference arrangements 
    6. Manages hotel reservations and books plane tickets for the team's business travels
    7. Prepares expense reports
  • Also anticipates the needs and provides assistance to the members of the division by relaying directives, messages and information, following through on action items, distributing memos, and performing other administrative tasks (typing, transcribing, scanning, filing, routing and monitoring of documents)
  • Manages inventory of supplies by processing and monitoring status of purchase requisitions of materials, equipment and services needed by the division. Acts as Asset Custodian of the team
  • Provides customer service to the different members of the Division by helping resolve issues and concerns on portals and other systems and determining the appropriate courses of action, referral or response. Solves office problems to expedite the flow of work in the office

 


REQUIRED QUALIFICATIONS

  • Bachelor's Degree preferably in Business or Management
  • Proficient in Microsoft Office applications, with advanced skills in Excel for data analysis and reporting
  • Strong oral and written communication skills, with the ability to interact effectively across teams and with external partners
  • Excellent customer service and organizational skills, with a proactive and detail-oriented approach to tasks
  • Reliable, resourceful, and capable of managing multiple responsibilities in a fast-paced environment
  • Proficient in Microsoft Office Excel
  • Good oral and written communication skills
  • High level of integrity and ethical standards in handling customer information and documents
  • Exhibit problem-solving and relationship-building skills
